Executive Assistant to CEO

Role Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide direct support to our Founder & CEO. This role is ideal for someone who thrives in a fast-paced executive environment, anticipates needs before they arise, and can confidently manage competing priorities with professionalism and sound judgment.
As the Executive Assistant you will act as a trusted partner to the CEO, ensuring his time, communications, meetings, travel, and day-to-day priorities are managed seamlessly. You will be resourceful, detail-oriented, emotionally intelligent, and comfortable interacting with internal teams, external partners, vendors, advisors, and senior stakeholders.

Key Responsibilities
Executive Support & Calendar Management 
Manage and prioritize the CEO’s complex calendar, including meetings, calls, events, travel, and personal scheduling needs as required. Anticipate conflicts, prepare daily agendas, and ensure the CEO is briefed and prepared for all commitments.
Communication Management 
Monitor, organize, and prioritize emails, messages, and correspondence. Draft, proofread, and edit communications on behalf of the CEO, ensuring clarity and professionalism.
Meeting Coordination & Preparation 
Coordinate internal and external meetings, prepare agendas, gather materials, take notes when needed, track action items, and follow up with relevant stakeholders to ensure timely completion.
Travel & Logistics 
Arrange and sometimes attend domestic and international travel, including flights, accommodations, transportation, itineraries, visas, reservations, and related logistics. Handle changes quickly and calmly.
Project & Priority Tracking 
Support the CEO in tracking key business priorities, deadlines, initiatives, and follow-ups across departments. Help ensure important items do not fall through the cracks.
Stakeholder Liaison 
Serve as a professional point of contact between the CEO and employees, executives, investors, partners, vendors, and external contacts. Exercise discretion and diplomacy in all interactions.
Administrative & Personal Support 
Assist with administrative tasks, expense reporting, document organization, event coordination, reservations, errands, and occasional personal support as needed.
Confidentiality & Judgment 
Handle sensitive business, financial, employee, and personal information with the highest level of confidentiality and discretion.
Required:
  • 3 – 5 years of experience as an Executive Assistant, Personal Assistant, Chief of Staff Associate, or similar role supporting a CEO, Founder, President, or senior executive. 
  • Exceptional organizational and time-management skills. 
  • Strong written and verbal communication skills. 
  • Ability to manage multiple priorities in a fast-paced, high-growth environment. 
  • High level of professionalism, discretion, and emotional intelligence. 
  • Strong attention to detail and follow-through. 
  • Comfortable working with senior leaders, external partners, and confidential information. 
  • Ability to short notice travels 
  • Ability to work long hours, attending calls early mornings and late evenings to accommodate company worldwide clients 
  • Proficiency with modern AI Tools 
  • Proficiency with Google Workspace, Microsoft Office, calendar tools, video conferencing platforms, and expense/reporting tools. 
  • Flexibility to occasionally support urgent needs outside standard business hours. 

Nice to Have:
  • Experience supporting a founder or CEO in a technology, gaming, software, or high-growth company. 
  • Experience coordinating complex travel and executive events. 
  • Familiarity with project management tools such as Asana, Monday.com, Notion, Jira, or similar platforms. 
  • Experience working in an international or multi-office environment.
